Email Management
Email messages and their attachments have become some of the most important information repositories within an organization. Unfortunately, Microsoft Exchange® and other Email servers were not designed to indefinitely manage an ever-increasing volume of Email. As a consequence, many organizations limit the size of user Email accounts or purge messages older than 60 or even 30 days. The results are predictable: critical knowledge is lost or removed from structured management as users forward Email messages to outside accounts or create private offline repositories. Implementing a comprehensive legal hold becomes a logistical nightmare, and one with some holes that may never get plugged.
StarLaw's Email management technology can help. Without changing the way that users see and use their Email clients, StarLaw integrates with Microsoft Outlook® and transfers designated messages to a StarLaw server, where both messages and attachments are fully indexed for fast retrieval. Email users can continue to see these messages and can continue to organize their content in personal or Exchange folders within a Microsoft Outlook® environment. However, when it comes time to locate messages, users have the ability within Outlook® not only to use Outlook® search, but also to employ StarLaw’s enterprise search and retrieval system. All content stored in StarLaw adheres to firm ethical walls and optional user driven security, ensuring that information is available only to authorized personnel.
Hosting Email messages on StarLaw also opens up other significant opportunities. If all incoming and outgoing messages are automatically profiled, indexed, and retained within StarLaw, Email servers may no longer need to be placed under legal holds, greatly simplifying their administration. Similarly, backup tapes of the servers become redundant duplicates of messages that can be retrieved much more easily from StarLaw. Again, these tapes may not need preservation under legal holds. Finally, StarLaw can be configured to apply its record retention rules to Email messages, retaining content for appropriate, not arbitrary, periods of time.
